Procurement Workflows

Authenticated TenderMind workflows for tender evaluation, validation of file completion, and contract codification.

Overview

Procurement workflows inside TenderMind are designed for document-heavy evaluation and review processes. Users upload tender documents, bidder submissions, contract files, and supporting material through the platform. TenderMind then structures the information into outputs that are easier to compare, review, and use internally.

The procurement workflow area covers three platform products: Tender Evaluation, Validation of File Completion, and Contract Codification. Each workflow is available only inside the TenderMind platform for approved workspaces and authorized users.

Platform access

These workflows are not public self-serve tools. They are available inside the TenderMind platform and require sign-in. Access is assigned at workspace or organization level.

Procurement platform workflows

Three authenticated workflows support different stages of the procurement and contract review process.

  • Tender Evaluation

Evaluate participating companies' offers against tender requirements, extracted criteria, and submitted evidence.

Tender Evaluation helps contracting authorities and procurement teams assess multiple bidder submissions against the same tender requirements. The workflow uses the RFQ or RFP documents as the source of truth, extracts the relevant criteria and requirements, and matches them against each bidder's submitted files.

    • Compare multiple participating companies.
    • Extract criteria and requirements from tender documents.
    • Match submitted files against tender requirements.
    • Generate status, scoring, comments, and source-linked references.
    • Support committee review with structured outputs.
  • Validation of File Completion

Check whether a bidder's submission folder is complete, properly supported, and ready for review.

Validation of File Completion helps a bidder or review team assess whether a submission folder includes the documents and supporting evidence requested in the tender. The output highlights where the submission appears covered, where documentation may be missing, and where supporting evidence is weak, unclear, or needs review.

    • Validate one submission folder against tender requirements.
    • Identify missing or incomplete documents.
    • Flag weak, unclear, or unsupported evidence.
    • Prepare a file before submission or internal review.
    • Produce a structured completeness review.
  • Contract Codification

Structure contract files into predefined sections for easier review, navigation, and internal use.

Contract Codification helps teams turn complex contract files into a structured, reviewable format. The workflow processes scanned PDFs, digital PDFs, Word files, and supporting contract material, then organizes the relevant content into predefined sections based on the agreed structure.

    • Process scanned or digital contract files.
    • Organize content into predefined sections.
    • Support review of clauses, obligations, and responsibilities.
    • Reduce scattered contract information.
    • Create consistent structure across contract files.

How procurement workflows work

A structured process from document upload to review-ready output.

Select a workflow

Authorized users sign in and choose an assigned procurement workflow.

Upload the required files

Users upload tender documents, RFQ or RFP files, bidder proposals, contract files, or supporting material.

Structure the source material

TenderMind extracts criteria, requirements, contract sections, and supporting evidence from the uploaded files.

Generate the output

The platform returns an evaluation report, completeness review, compliance matrix, or contract codification structure.

Review and use internally

Teams use the output to compare information, identify gaps, document rationale, and prepare next steps.

Example procurement outputs

Procurement workflows generate structured review material instead of plain summaries.

Why teams use TenderMind procurement workflows

Designed to make procurement review more structured, consistent, and traceable.

  • More structured reviewTurn large tender and contract files into organized outputs that are easier to review and compare.
  • Consistent evaluation logicApply the same criteria, requirements, and review structure across submissions and files.
  • Evidence-backed outputsConnect findings to uploaded documents, supporting evidence, and review notes where applicable.
  • Faster preparationReduce repetitive document handling and prepare review material more efficiently.
  • Human review by designTenderMind supports reviewers with structured analysis. Final decisions remain with the responsible team, authority, or committee.

Built for controlled access

Procurement workflows are available inside the TenderMind platform and require sign-in. Access is assigned to approved users and workspaces. This allows teams to use document-heavy workflows in a controlled environment instead of exposing sensitive procurement or contract files through public tools.
